The project in short
We built a valuation operations platform for an Indian property valuation firm that inspects and values properties for banks and NBFCs. It reads legacy Word and Excel reports into more than 50 standard fields, keeps live cases in one MIS, suggests engineers by service area and workload, and runs an Android field app, now in pilot, that takes GPS-tagged photos and works offline.
The challenge
Valuable data, locked in files and spreadsheets
Banks and NBFCs send the firm cases for home loans, loans against property and business lending. For every case an engineer visits the property and takes photos, and the office writes a valuation report in the lender's own format.
Over the years that produced a large archive of reports, mostly Word and Excel files, with every lender using a different layout. Live cases were tracked in a shared Excel MIS. The firm asked for searchable records, one case register, same-day sight of field work, a field app that copes with weak signal, and role-based access with an audit trail.
What the firm needed to fix
- 01
Reports could not be searched
Finding a past valuation by address, customer or bank reference meant opening files one by one.
- 02
Every lender, a different format
The same facts sat in different places in every lender's template.
- 03
Cases tracked in a spreadsheet
A shared MIS file is hard to filter, report on and control as volumes grow.
- 04
Field work needed one record
Appointments, client holds and follow-ups had to be visible to the office.
- 05
Photos needed proof
Site photos needed a reliable capture time and location, linked to the right case.
- 06
Access and accountability
A record of who changed what, and control over who sees which data.
The workflow
One connected workflow, from archive to field to office
A web platform for the office and an Android app for engineers, connected through one protected API and one database.
- 01
Archive
Legacy reports are read in bulk into one standard layout. Source files are never changed.
- 02
Case register and MIS
Live cases in one register, with MIS views and Excel export.
- 03
Dispatch
Assign cases, with engineers suggested by service area and workload.
- 04
Field app
Plan visits, record holds and take GPS-tagged photos, even offline.
- 05
Office review
Visit history and a photo gallery with time, GPS and accuracy.
- 06
Reports and exports
Search the archive, build reports and download Excel.
Every assignment change is recorded with a reason. Role-based access, activity logs and admin change history run across the whole platform.
Report archive
Years of reports, finally searchable
Word and Excel reports from the existing folders are read in bulk, and the key facts go into one standard layout, whatever the lender format.
- More than 50 standard fields: customer, address, PIN, property type, land and built-up areas, rates, fair market, realizable and distress values, report and visit dates
- Every value keeps the label and text it came from
- Duplicates detected and versions of the same case linked, with the latest marked
- A review queue flags missing, unclear or conflicting values instead of guessing
- "NA" stays "NA", so blank and not-applicable are never confused
- Source files are only read; they are never edited, moved or deleted
One report, read into standard fields
Sample report · Asha Verma
| Label in the report | Standard field | Value |
|---|---|---|
| Name of the Applicant | Applicant | Asha Verma |
| Plot Area (in Deed) | Land area · documents | 1,215 sq ft |
| Total Fair Market Value | Fair market value | ₹78,40,000 |
| Realizable Value @ 90% | Realizable value | ₹70,56,000 |
| Distressed Value @ 80% | Distress value | ₹62,72,000 |
Search, reports and MIS
One case register, with the Excel exports teams expect
The firm's MIS moved into the platform without losing the spreadsheet habits that work: familiar layouts and exports with a filter on every column.
- Search across all lenders by customer, address, report number, bank reference, PIN or phone
- A report builder with chosen columns, filters and grouping
- "Download all reports": one Excel row per report, with a filter on every column
- The case register in the firm's MIS layout, with Excel import and summaries by status, bank, zone, engineer or month
- A verification workbook to check extracted values against the original documents side by side
MIS summary by status

Field operations
Field visits the office can see, with photo evidence
Engineers work from an Android app, now in pilot, while coordinators dispatch cases and review every visit and photo from the office.
- Assigned cases with call and map shortcuts, and visit stages from scheduled to completed, on hold or could not complete
- Standard client-hold remarks with a follow-up date and owner
- Updates and photos are queued offline and synced in order when signal returns
- The camera waits for a fresh GPS fix before a photo is taken
- Photos grouped by visit, with capture and received time, GPS, accuracy and the phone's fake-location flag
- A separate stamped copy carries the case, time and GPS; the original upload is kept unchanged

What it gives the team
What the platform gives the firm
Past work becomes an asset
Years of reports can be searched and reused instead of sitting in folders.
One version of the truth
Cases, visits, photos and reports live in one system, not spreadsheets and chat threads.
Better site evidence
Every photo carries time, GPS, accuracy and a location check.
Same-day view of field work
The overview shows who is assigned, what is planned, on hold and done.
Fewer silent errors
Unclear or conflicting values are flagged for a person to check.
Control and accountability
Role-based permissions and a record of every change.
These are capabilities the software supports. We have not published measured ROI or performance results for this project.

Can old Word and Excel valuation reports be made searchable?
Yes. This platform reads legacy .docx and .xlsx reports in bulk and maps them into more than 50 standard fields, whatever the lender format. Each value keeps the text it came from, unclear values go to a review queue, and the original files are never changed.
How does the field app show where a site photo was taken?
The camera waits for a fresh GPS fix before taking a photo. Each photo records its capture time, GPS position and accuracy, plus the phone's own fake-location flag. A stamped copy carries the case, time and GPS, and the original upload is kept unchanged.
Does the field app work without mobile signal?
Yes. Visit updates and photos are queued on the phone and synced in order when signal returns.
How are site visits assigned to engineers?
Coordinators assign or reassign cases with a recorded reason. The platform suggests engineers who cover the case's service area and shows their open workload.
Who can see what in the platform?
Access is role-based, with templates such as Coordinator, MIS Viewer, Reporting Analyst, Auditor (read-only) and Operations Manager. Activity, export and admin-change logs record what happened, and app sign-ins end when an account is deactivated or its password changes.
